What we do

The AI department you don't have to hire

The One Group is your outsourced AI function. We advise on where AI actually fits, build and connect it inside the tools you already use, train your team, and keep it working as the technology changes.

Four needs, covered as one relationship

Everything we do organizes around four needs most owner-run businesses have:

  • AI adviceWhich tools, where AI fits, and what's worth doing — and, just as usefully, what isn't.
  • ImplementationAutomations, integrations, assistants, and internal tools — built and connected to the systems you already run.
  • Team adoptionSetup, training, and practical workflows, so the people doing the work actually use what gets built.
  • Ongoing supportMaintenance, troubleshooting, and improvements — keeping systems current as tools and AI change.

You get one point of contact and an accountability loop — not a login and a tutorial.

An example of the work: inquiry handling and follow-up

One example of what implementation looks like: your inbound web-form and email inquiries are handled in order — answered in minutes with a useful first reply, qualified with a short set of questions you approve, booked onto your calendar with a confirmation, followed up if they go quiet (stopping the moment they reply), and logged with a clear stage. Once a week you get a one-page summary: how many came in, how many were handled, how many booked, and what's still open.

This is one example of the work we handle. If it's the right first move for your business, we'd do it carefully — starting with one channel.

What we do, plainly

  • Workflow integrationConnect the tools you already use (forms, email, calendar, CRM, sheets) so information moves between them without re-typing.
  • Sales & operations automationAutomate repetitive steps like inquiry response, quote follow-up, onboarding steps, and status updates.
  • Internal tools & reportingTurn scattered data into a simple one-page view you can actually act on.
  • Team adoptionSet workflows up so your team can review, adjust, and own them — with human hand-off where it matters.

Other work we can scope and build

These are kinds of adjacent workflows we can quote and build. Each is scoped and agreed on its own terms.

  • Quote follow-upA scheduled follow-up for quotes that go quiet.
  • OnboardingThe steps between "yes" and "job done" — details, confirmations, scheduling, reminders.
  • ReportingTurning what happens in your business into a one-page summary you can actually read.
  • Exception handlingReschedules, complaints, out-of-area requests — routed to the right person instead of dropped.

Who it's for

Built for owner-run service businesses — our initial focus is the trades (HVAC, plumbing, electrical, landscaping, pest control) and small professional-services firms, because the problem is sharpest and easiest to measure there.

It's a good fit if:

  • You want an ongoing AI partner you can scope to what you need — not a full-time hire.
  • You use a calendar (Google or Outlook) and a CRM, or you're fine with a simple shared sheet.
  • You want to see something working before committing to more.

It's not a good fit if:

  • You need a fully custom app, multi-location phone routing, guaranteed lead volume, a 24/7 monitored service, or compliance certifications we don't hold.

How it starts

The first step is AI Roadmap + First Implementation — a prioritized roadmap plus one small implementation, built and deployed, in about two weeks. If it isn't right for your business, we'll say so on the call.
